Communications - Our Top Ten Tips

1. Accept that communications at all levels are vital to your business.

2. If you promise to complete task by a time, do so, or at least contact
the other party as early as possible explaining why a delay might occur.

3. Ensure your business phone can be accessed at all times, even if it's
only to allow a message to be left. Get one that accepts e-mails so you can
always receive and transmit information as soon as practicable.

4. Reply to telephone calls and e-mails within a sensible time scale.
Immediately is best and 24 hours is the longest time that should elapse.

5. If you are genuinely going to be out of communication for a period of
time due to an emergency or a crucial meeting, endeavour to let all your
contacts know. At the same time, advise when you will be back on the scene.
They need to know.

6. When talking on the phone; smile. Amazingly, it will enable your voice
to sound more encouraging and friendly.

7. Remember, the person at the end of your telephone line represents the
company and all that it stands for. Ensure that your telephonist is
discrete, charming, well trained and able to handle pressure. (Even if it's
you!)

8. Be cautious when e-mailing and review what you have written before
sending. It's too late to amend things once the "send" key has been pressed!

9. Ensure you communicate well with others, especially when you are
unsure. Ask questions like, "If I understand you correctly, what you mean
is..."

10. Think of the great communicators like JFK, Winston Churchill, Martin
Luther King and Jesus. What techniques did they use and how can you build on what they did?
